Course Approval Processes

Repeat Courses

Repeat courses may be scheduled and promoted with advance permission from UC Davis Continuing and Professional Education and do not require formal approval unless there have been particular changes to the course (see below).

How to Request a Repeat Course

Repeat courses require re-approval if there have been changes to the course as described below:

  • Prerequisites
  • Academic Title or Academic Course Description
  • Any substantial change in the learning objectives or outcomes
  • Number of hours or credits
  • Method of grading
  • Transfer of courses from one academic unit to another e.g. Education to Math

Changes that do not require course re-approval:

  • Instructor (new instructors must still be approved if course is offered for academic credit)
  • Year, quarter, semester or session
  • Required textbooks or readings
  • Promotional title (so long as it is similar to approved title)
  • Promotional description (so long as the content is consistent with approved course description)

New Courses

All new courses to be offered for credit must be formally approved before they can be scheduled or promoted. The process for academic credit and CEU courses is described below.

Academic Credit courses

  • Submit an Academic Credit Approval (ACA) form.
  • Submit an Instructor Biography form—including professional references—for each proposed instructor.
  • UC Davis Continuing and Professional Education reviews the Academic Credit Approval form for course content and the Instructor Biography form for relevant qualifications and completeness. Upon positive review, the Unit Director/Continuing Educator signs and submits to the Dean's Office for approval.
  • The Dean's Office solicits instructor references and reviews all documents for concurrence with UC academic standards. Following approval by the Dean of UC Davis Continuing and Professional Education, the Academic Credit Approval and Instructor Biography are sent to the appropriate UC Davis campus department for final approval and signature (i.e., School of Education for teaching methods courses, appropriate school/college for discipline-based courses).
  • Upon final approval by the appropriate UC Davis campus department, the course record is established in our university business system and you will receive confirmation and appropriate forms. This process can take up to 4 weeks.

Continuing Education Unit (CEU) Credit courses

  • Submit a CEU Proposal form.
  • Submit an Instructor Biography form OR a CV/résumé for each proposed instructor.
  • UC Davis Continuing and Professional Education reviews the CEU Proposal for course content and the Instructor Biography form (or a CV/résumé) for relevant qualifications and completeness. Upon positive review, the Unit Director/Continuing Educator signs and submits to the Dean's Office for approval.
  • Upon final approval by the Dean of UC Davis Continuing and Professional Education, the course is established in our university business system and you will receive confirmation and appropriate forms. This process may take 2-3 weeks.

Enrollments and Grades Processes

Academic Credit Courses

Paper-Based Enrollment

At course completion, send student enrollment forms (including payments) and signed grade roster to our Student Services office at the address below. Your assistance in securely managing payments and payment information for students requesting credit is also greatly appreciated. Please keep checks and credit card data secure prior to sending via regular (not inter-campus) mail.

Once enrollment forms, payments, and signed grade roster are received by UC Davis Continuing and Professional Education, students are issued a grade report verifying the credit hours and grade (i.e., letter grade or pass/no pass). Students who have requested and paid for an official transcript will receive these in addition to the grade report.

Online Enrollment

At course completion, provide participants with URL to UC Davis Continuing and Professional Education's list of partner courses. Students will choose the appropriate course title, and enroll online.

Next, provide a signed grade-roster for ALL course participants to UC Davis Continuing and Professional Education at: edinfo@ucde.ucdavis.eduTo ensure timely grade reports for students, please submit no later than 2 weeks after the course end.

Continuing Education Unit (CEU) Credit Courses

Once enrollment forms, payments, and signed attendance verification are received by UC Davis Continuing and Professional Education, students are issued a grade report indicating the CEU credit awarded. Students who have requested and paid for an official transcript will receive these in addition to the grade report. Please note that grades for CEUs are categorized as NC (noncredit), signifying that the units earned are not academic credit.

Online Enrollment

At course completion, provide participants with URL to UC Davis Continuing and Professional Education's list of partner courses. Students will choose the appropriate course title, and enroll online.

Deadlines

UC Davis Continuing and Professional Education's deadline for request for credit is three months after the course end-date, or three months following last day of the relevant university quarter. However, the Training Provider may choose to implement an earlier deadline.
